Background
This Company organise and administer a
prestigious international advertising festival and awards ceremony held
in Cannes, France each June. During the preceding January a 20,000 letter
mailshot is sent to potential entrants and delegates around the world.
During February through to June bookings and entries are received on a
continuous basis in London. Prior to the event all entries have to be
compiled, catalogued, printed and subsequently transported to Cannes along
with all the Company staff and additional staff recruited to administer
the event on site. Entirely bespoke systems were being used to manage and
operate the event.

Scope of requirements
Delegate and company database, delegate accommodation reservation system, entries processing system, financial ledgers.
Large volume of data -
the need for a system capable of handling over 8,000 entries to the event
and over 6,000 delegates including the arrangement of their accommodation.
Bespoke applications - management
wanted to investigate whether alternative packaged based systems were
available for implementation in the desired timescales. On-line booking via the Internet -
integration requirements with other internal and external systems
including Internet booking systems. New technology requirements - the
use of new technology to help with the registration of the 6,000 delegates
on site including the generation of a delegate badge including a
photograph and the use of bar-coding to aid the production of personalised
invitations.
The systems strategy highlighted the key future application requirements. No appropriate packaged software was identified and internet based systems were subsequently developed to handle delegate and competition entry processing.
